Marathon Relay 2027

These terms apply to Flintshire Run Club’s Relay Marathon 2027, organised by Lift Flintshire CIC, contactable at hello@liftflintshire.co.uk.

Entry and team details

Each team must consist of four registered runners. The person booking is responsible for providing accurate entry details and sharing these terms and all event information with their teammates. Each runner must agree to participate.

Participants must meet the event’s age requirements: Participants must be over 18.

Event format

Teams complete 106 laps of the 400m track, with one runner per team running at a time. Teams may divide the running between their members as they choose, subject to the rules explained in the pre-event information and race briefing.

Participation and safety

Running involves physical effort and a risk of injury. Each participant is responsible for deciding whether they are sufficiently fit and well to take part, choosing an appropriate effort and stopping if they feel unwell or injured.

All participants must follow instructions from event officials, marshals and first-aid personnel, including track-use and changeover procedures. The organisers may stop a participant from continuing where there is a reasonable safety concern.

Conduct

Please treat fellow runners, volunteers, officials and spectators respectfully. Unsafe behaviour, abuse or deliberate breaches of the event rules may result in removal from the event or disqualification.

Changes to your team

Runner substitutions must be approved by the organisers and recorded before the replacement runner participates. Please contact hello@liftflintshire.co.uk as early as possible to request a change. Replacement runners must meet the entry requirements.

Changes to the event

We may make reasonable changes to timings or event arrangements where necessary for safe delivery. We will communicate significant changes as soon as reasonably possible. Cancellation and postponement arrangements are explained in our Refund Policy.

Responsibility

Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot lawfully be excluded. Your statutory rights remain unaffected.

Information we collect

We collect the information needed to process entries and organise the event. This includes participant names, team details, contact details, booking records and race results, together with any age or eligibility information requested on the entry form.

If a team captain enters on your behalf, we receive your information from them. Team captains should share this notice with each runner before submitting their details.

Why we use your information

We use entry and contact information to process your booking, communicate essential event information and deliver the event. We rely on performance of our booking contract where applicable.

We rely on our legitimate interests in running a safe, fair and well-organised event to administer team entries, resolve queries and manage timing and results. We use booking records to meet applicable accounting and legal obligations.

Required entry information is needed to administer your participation. Without it, we may be unable to accept or complete your entry.

Who we share information with

We share necessary information with our entry platform, NiftyEntries, and relevant payment, timing and event-support providers. Access is limited to what is needed for their role.

We do not sell your personal information.

Marketing

Entering the event does not automatically subscribe you to marketing emails. If you separately opt in to news about future events or Flintshire Run Club activities, you can unsubscribe at any time.

How long we keep information

We retain information for the time needed to administer the event, resolve queries and meet applicable legal, accounting and insurance requirements.

We normally retain routine entry and contact records for 12 months after the event to manage enquiries, refunds and results corrections. We then securely delete or anonymise information that is no longer needed.

Financial and transaction records are retained for six years from the end of the company financial year to which they relate, or longer where required by law.

Published race results are retained for five years after the event so participants can revisit and compare performances. Results do not include contact details or full dates of birth. At the end of this period, we remove or anonymise personal information in the results.

Specific records needed for an unresolved complaint, incident, insurance claim or legal obligation may be retained for longer. We limit this to the information needed and review it when the matter is concluded.

If you separately subscribe to marketing updates, your subscription is managed independently of your event entry. You can unsubscribe at any time.

International processing

Your rights

Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction of its use or a portable copy.

You have the right to object to processing based on our legitimate interests, including publication of information about you in results. Please contact us to discuss your request.

Where we rely on consent, you can withdraw it at any time without affecting the lawfulness of earlier processing.
